CRM and ERP software from Kochi for Kerala businesses that have reached the limit of Tally plus spreadsheets plus a WhatsApp group. The moment usually arrives the same way: the stock count is wrong, the GST return took a week, a big customer’s order cannot be found, or the one person who understood the spreadsheets resigned. What follows is a system that runs inventory, sales, purchasing, operations and finance in one place, with Tally kept as the ledger and a CRM that lives on WhatsApp because that is where the sales team lives.

We are agnostic about how it is built and opinionated about how it is chosen. Odoo with Indian localisation fits most trading and manufacturing businesses. Zoho fits most services firms. A bespoke build fits the business whose process is genuinely different or whose software is the product. Often the answer is a platform for the standard modules and one bespoke module for the process that makes the business what it is, integrated so nobody can tell where one ends and the other begins.

Implementation happens on the floor, with the storekeeper, the billing clerk and the collections team, because they know where the exceptions are. Migration is rehearsed, go-live is staged, and the first month is supported daily in Malayalam and English.

Traders and distributors, manufacturers on the Kochi and Kozhikode industrial belts, hospitals, developers, jewellery and retail chains, logistics operators and professional firms.

What we build and configure

Odoo implementation

Tally integration

Tally Prime or Zoho Books fed automatically so the accountant keeps their tool.

Systems we build most often

Multi-godown inventory, dealer pricing, credit terms, GST invoicing and collections in one system.

Manufacturing

Production planning, works orders, job costing, quality and dispatch for units in Kalamassery, Aroor and the Kozhikode belt.

Real estate

Hospitals

Jewellery and retail

Logistics

How we engage

Fixed-scope implementation

Discovery produces a specification and a fixed price for a defined system.

Dedicated team

A named team working through your roadmap in two-week sprints.

Support and evolution

SLA-backed maintenance and improvement for systems we built or inherited.

The week the spreadsheet broke

Every business we implement for has a version of the same story. The stock spreadsheet said forty units and the godown had twelve. The GST return needed three people for a week because the sales register and Tally disagreed. A dealer’s outstanding was in someone’s head, and that someone went on leave. The order book was a WhatsApp group with four hundred unread messages. None of this is a failing of the people involved. It is what happens when a business grows past the tools it started with.

The system that replaces it is chosen from the facts of that story: which processes are standard and can be configured, which are genuinely particular to this business and must be built, and which existing tools, Tally above all, should stay exactly where they are.

Discovery on the floor

With the people who run stock, billing and collections today.

Standard configured

Odoo or Zoho modules for the processes every business shares.

Particular built

A bespoke module for the process that makes yours different.

Tally kept

The ledger stays with the accountant, fed automatically.

Stock in the units the godown actually uses

A distributor buys in cartons, stores in cases and sells in pieces; a manufacturer buys in kilograms and sells in metres; a jeweller tracks grams and pieces at once. Generic systems handle this badly and spreadsheets handle it by arithmetic done in someone’s head. Multi-godown stock, unit conversions, batches and serials where the product needs them, inter-branch transfers with GST handled, and barcode scanning on a phone for receiving and counting are designed in from discovery rather than discovered at go-live.

Dealer pricing, credit limits, ageing and collections tracked by the field team on a phone complete the picture for a trading business.

Units and conversions

Bought, stored and sold in different units without manual arithmetic.

Multi-godown

Stock across locations with transfers and accurate costing.

Batches and serials

Traceability where the product needs it, ignored where it does not.

Barcode on a phone

Receiving, picking and counting without a separate device.

GST that the accountant signs off

The system produces what the return needs as transactions happen: invoices with the required fields, HSN and SAC codes, place of supply decided correctly so CGST and SGST or IGST are applied without thought, credit and debit notes tied to their originals, and data organised by rate and counterparty. For businesses above the threshold, e-invoices go through a GSP for an IRN as they are raised, and e-way bills are generated from dispatch.

Tally receives the postings automatically, the accountant reconciles weekly instead of monthly, and the return becomes a review rather than a project.

Compliant documents

Invoices, notes and bills of supply with every required field.

Place of supply

CGST, SGST and IGST decided by the system, not the clerk.

E-invoice and e-way

IRN and e-way bills generated through a GSP where required.

Tally posted

The ledger fed automatically, reconciled weekly.

Sales that happen on WhatsApp, recorded in the CRM

A Kerala salesperson closes on WhatsApp from a phone, and a CRM that expects them to sit at a desktop afterwards will be ignored by the second week. We put WhatsApp inside the CRM: enquiries arrive through the Business API, the conversation is logged against the customer, a quote is generated from live stock and dealer pricing and sent from the same screen, and follow-ups go out automatically in Malayalam or English. The salesperson keeps their phone. The owner finally sees the pipeline.

Routing gets each new lead to the right branch or person in minutes, with a fallback if nobody responds, and every enquiry carries its source so marketing can see what produced it.

WhatsApp inside the CRM

Conversations logged, quotes sent, from the phone.

Quotes from live data

Stock, cost and dealer pricing, in seconds.

Routing and follow-up

The right person in minutes, automated nurture after.

Pipeline visible

Open quotes, conversion and margin for the owner.

Custom CRM & ERP Software questions

Can we move data from our old software?

Yes. We safely import your existing customer and lead data into the new custom platform.

Odoo, Zoho or something built for us?

Odoo with Indian localisation for trading and manufacturing businesses with standard processes. Zoho for services firms. Bespoke where the process is genuinely different or the software is the product. Often a platform plus one custom module, and we recommend from the facts of your business rather than a preference.

Will our accountant have to leave Tally?

No. Tally stays as the ledger and is fed automatically from the operational system, so the accountant works in the tool they know and reconciles weekly instead of monthly.

Can the system handle GST, e-invoicing and e-way bills?

Yes. Compliant documents, place of supply logic, HSN and SAC handling, IRN generation through a GSP and e-way bills from dispatch are part of the standard build.

Can the sales team keep using WhatsApp?

Yes, and they should. The WhatsApp Business API is integrated so conversations are logged against the customer, quotes are sent from the CRM screen and follow-ups are automated, while the salesperson works from their phone.

How long does an implementation take?

Ten to twenty weeks for an ERP including discovery and migration, delivered in stages so the first modules go live early. A CRM alone takes four to ten weeks.

How do you migrate our data?

Mapped, cleaned, trial-migrated and reconciled before cutover, with old tools retired one at a time and both systems reconciled during the overlap. The business keeps running throughout.

Do you train our staff?

Yes, by role, on the floor, in Malayalam and English, with engineers at your premises for the first days live and daily support for the first month.

Who owns the system afterwards?

You do. Source, configurations, infrastructure, documentation and credentials are handed over in your name, and the system is built so another competent team could run it.
